Terms of Service

1. Acceptance of Terms
By accessing or using AccredLeap ("the Service"), you agree to be bound by these Terms of Service. If you are using the Service on behalf of an institution, you represent that you have authority to bind that institution to these terms.
2. Service Description
AccredLeap provides AI-powered accreditation document preparation tools for higher education institutions. The Service includes AI-guided interviews, narrative generation, collaborative editing, faculty analytics, document management, and export capabilities.
The Service is designed to assist with accreditation document preparation. AccredLeap does not guarantee accreditation outcomes. All generated content should be reviewed and approved by qualified institutional personnel before submission to accrediting bodies.
3. User Accounts
You are responsible for maintaining the security of your account credentials. Institutional administrators are responsible for managing team member access and permissions. You must notify us immediately of any unauthorized access to your account.
4. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of applicable regulations.
- Upload malicious content, viruses, or harmful code.
- Attempt to gain unauthorized access to other users' institutional data.
- Reverse engineer, decompile, or disassemble any part of the Service.
- Use the Service to generate fraudulent accreditation documents or misrepresent institutional information.
5. Intellectual Property
Your content: You retain full ownership of all documents, data, and content you upload to or create using the Service. This includes interview responses, uploaded documents, faculty data, and all generated accreditation narratives. AccredLeap claims no ownership over your institutional content.
Our platform: AccredLeap retains ownership of the Service itself, including our software, AI models, user interface designs, and documentation. Your use of the Service does not grant you ownership of any AccredLeap intellectual property.
6. Subscription Billing and Cancellation
Subscription fees: Institutional licenses are billed on a recurring basis, either monthly or annually, as selected at the time of checkout. Payment is processed securely by Stripe. By subscribing, you authorize AccredLeap to charge your payment method on a recurring basis for the applicable subscription fees.
Free trial: New institutional subscriptions include a 14-day free trial period. You will not be charged during the trial period. If you cancel before the trial ends, no charges will be applied.
Cancellation: You may cancel your subscription at any time through the account settings portal. Upon cancellation, your institutional access will continue until the end of the current billing period. No further charges will be applied after cancellation.
Refunds: We do not provide refunds for partial billing periods after cancellation. If you cancel mid-cycle, you retain access until the end of the paid period.
Price changes: We will notify institutional administrators at least 30 days before any price increase takes effect. Continued use of the Service after a price change constitutes acceptance of the new pricing.
7. FERPA Compliance and Educational Records
AccredLeap acts as a "school official" with a "legitimate educational interest" under FERPA (34 CFR 99.31(a)(1)(i)(B)) when an institution engages our services. The institution maintains direct control over the use and maintenance of education records shared with AccredLeap.
We use personally identifiable information from education records solely for accreditation document preparation and will not re-disclose such information to third parties without consent, except as permitted under FERPA. AI processing subcontractors identified in our Privacy Policy operate under the school official designation.
AccredLeap processes only the education records necessary for accreditation preparation, including faculty CVs, student outcome data, and institutional documents. Institutions retain the right to inspect, review, and export all education records we maintain at any time.
8. Data Handling
Your institutional data is handled in accordance with our Privacy Policy. Key commitments include: institutional data isolation through row-level security, encryption at rest and in transit, and the right to export your data at any time.
We use essential cookies required for authentication and core functionality, and optional analytics cookies subject to your consent. You can manage your cookie preferences at any time via the cookie settings link in our website footer. For details, see our Privacy Policy.
9. Limitation of Liability
To the maximum extent permitted by law, AccredLeap shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, revenue, or accreditation outcomes. Our total liability shall not exceed the amount paid by you for the Service in the twelve months preceding the claim.
AccredLeap provides AI-generated content as drafts for human review. We do not guarantee the accuracy, completeness, or suitability of generated content for any specific accreditation standard or accrediting body.
10. Termination
Either party may terminate this agreement at any time. Upon termination, you may request export of your institutional data within 30 days. After 90 days, your data will be permanently deleted in accordance with our data retention policy.
We reserve the right to suspend or terminate accounts that violate these terms, with notice where practicable.
11. Changes to Terms
We may update these terms from time to time. Material changes will be communicated via email to institutional administrators at least 30 days before taking effect. Continued use of the Service after changes take effect constitutes acceptance of the updated terms.
